Refund Policy

1. Introduction

Hostwares LLC (“Hostwares”) strives to provide excellent service. This Refund Policy outlines the conditions under which refunds are issued for our digital services. By making a purchase, you agree to the terms below.

2. Digital Services (Hosting & Databases)

Website Hosting & Managed Databases:

  • Full pro-rated refund if cancelled within the first 7 days of purchase AND the service has not been actively used (no deployments, no data stored)
  • If the service has been used within the first 7 days, a pro-rated refund for unused days may be issued at our discretion
  • No refund after 7 days from purchase

AI Credits:

  • Unused AI credits are refundable within 7 days of purchase
  • Once AI credits have been used (partially or fully), they are non-refundable
  • AI subscription plans follow the same 7-day hosting policy above

Domain Registrations:

  • Domain registrations are non-refundable — this is per ICANN policy and domain registrar terms
  • Domain renewals are non-refundable once processed
  • If a domain registration fails to complete, a full refund will be issued automatically

3. Servers & VPS

  • Within 48 hours: Full refund if the server has not been provisioned or activated
  • Within 7 days: Pro-rated refund for unused days if cancelled within 7 days of activation
  • After 7 days: No refund — you may cancel to prevent future billing, and service will remain active until end of the billing period

4. cPanel Hosting

  • Pro-rated refund within the first 7 days if the account has not been used
  • No refund after 7 days
  • Setup fees (if applicable) are non-refundable

5. How to Request a Refund

You can request a refund through any of the following methods:

  • Email [email protected] with your account email and order/invoice details
  • Submit a support ticket from your dashboard at Dashboard → Tickets
  • Use the cancellation option in Dashboard → Billing for subscription services

Please include your account email, the service in question, and the reason for the refund request.

6. Processing Time

  • Refund requests are reviewed within 1–2 business days
  • Approved refunds are processed within 5–10 business days
  • Refunds are issued to the original payment method (PayPal, credit card, etc.)
  • Bank processing times may add additional days depending on your financial institution

7. Chargebacks

We strongly encourage you to contact us before filing a dispute or chargeback with your bank or payment provider. We are committed to resolving issues fairly and promptly.

  • Please email [email protected] first — we will work with you to resolve the issue
  • Filing a chargeback without contacting us first may result in account suspension pending investigation
  • Fraudulent chargebacks may result in permanent account termination
  • If a chargeback is filed for a legitimately delivered service, we will provide evidence to the payment processor

8. Exceptions

Refunds will not be issued in the following cases:

  • Account terminated for violation of our Terms of Service or Acceptable Use Policy
  • Services suspended due to illegal activity
  • Repeated refund abuse (creating accounts solely to exploit the refund window)
